Why Content Writers Need a Formal Proposal

A proposal does three things: it sets clear expectations on word count, SEO requirements, and revisions; it justifies your rate with a breakdown; and it creates a paper trail if a client disputes deliverables later. Without a proposal, scope creep is nearly inevitable in content work — clients start asking for "just one more revision" or "can you also do the meta descriptions?"

India-specific note: Content writing is classified under SAC code 998313 (Online content creation services). If your annual revenue exceeds ₹20 lakh, you must charge GST. For international clients (US, UK, EU), the service is zero-rated — no GST charged, but you can claim ITC on your expenses.

Per-word vs per-piece: International clients often quote per word (₹2–₹8/word for mid-level). Domestic Indian clients prefer per-article pricing. Pick whichever is clearer for your situation — mixing the two in one proposal creates confusion.

How to Customise This Proposal

1. Adjust Scope for Different Content Types

The template above is optimised for blog/SEO work. For other content types, adjust section 2 (Scope of Work):

2. Price for Your Value, Not Your Hours

Clients who pay per word will push you to write faster and thinner. Price per article instead, and anchor to outcomes — "this article is targeting 'best CRM India' which has 12,000 monthly searches." A 2,000-word SEO article that ranks and brings 500 qualified leads per month is worth far more than ₹4/word.

3. Set Revision Expectations Upfront

The number one source of conflict in content work is unlimited revisions. The template above gives 2 rounds — enough for reasonable edits, not so many that the client rewrites the brief after delivery. If a client pushes back on the revision limit, raise your rate by 15–20% instead of removing the cap.

Red flag check: Before accepting a project, ask: does the client have a content brief / style guide? Can they give you 1–2 reference articles they like? If the answer to both is "no, you figure it out," add a ₹2,000–₹5,000 discovery fee or walk away. Vague briefs always lead to endless revisions.

Retainer Packages for Content Writers

One-off articles are fine when starting out, but retainers give you predictable income. Here's how to structure content retainer packages:

PackageDeliverables / MonthPrice Range (Mid-level)Best For
Starter4 blogs (1,000 words each)₹8,000–₹12,000/moEarly-stage startups
Growth8 blogs + 2 case studies₹20,000–₹35,000/moScale-ups, D2C brands
Authority4 long-form (2,000+) + 16 social posts₹30,000–₹50,000/moB2B SaaS, funded startups
Full-stackContent calendar + 12 blogs + email + social₹50,000–₹80,000/moBrands wanting a content team
Retainer tip: Include a "content calendar" deliverable — even a simple Google Sheet with monthly topics. It forces the client to commit to a direction, which means fewer pivots mid-month and fewer revision requests.
